With a reporting line to the CFO, provides general administrative support to department senior leadership and other department members in a fast-paced environment.  Primary responsibility is to ensure the needs of employees in the department are prioritized, organized and executed to maximize productivity.
 
Daily general administrative items include calendar management, scheduling of meetings, phone and email support, departmental expense report management and company-wide (World Travel) expense reports within Concur, coordinating departmental travel arrangements, word processing of documents, development of presentation slides, filing of financial documents and other departmental support tasks as assigned. 
 
The incumbent must be flexible, be a team player, and have the judgment necessary to prioritize conflicting goals and communicate effectively.  S/He will demonstrate leadership and strong collaboration with Administrative colleagues within the organization. 
 
It is also expected that this role will exercise sound judgment and discretion and maintain the strictest confidentiality as s/he will be exposed to sensitive information. 

May be required to manage projects for the department.

RESPONSIBILITIES:
30%      
  • Maintains a complex and changeable global calendar covering all time zones, arranges meetings (all logistical details across multiple time zones, technology, etc.), prepares expense reports, schedules international and domestic travel

  • Presents a professional and welcoming presence, representing the team and handling communications with internal / external customers and partners, senior executives, Board members and corporate partners on domestic and international levels
  • Prepares routine and non-routine correspondence, memoranda, reports, spreadsheets and presentations.  Contact company employees, at all organizational levels, to gather requested information.  Handles/prepares documents of a highly confidential and sensitive nature, executes consistent and precise follow-up by ensuring issues are resolved and projects completed,

  • Conducts various administrative duties across the finance department including company-wide expense reporting within Concur for Company’s travel provider, filing of financial documents, assist accounts payable with filing, mail and other departmental support tasks (as needed).

  • Possesses strong knowledge of and demonstrated ability with computers and associated office software programs and serves as the executives’ proxy with respect to various financial and human resources systems.
  • Compiles and analyzes information and reports relevant to department projects
  • Maintains electronic and paper filing systems

QUALIFICATIONS:
  • Very strong organizational skills, excellent judgment and reasoning abilities, able to solve problems proactively and with independent discretion,
  • Ability to handle multiple tasks and priorities simultaneously, and the ability to work with independence and minimal supervision
  • Exceptional customer service and interpersonal skills in a fast-paced environment and the ability to work cooperatively and collaboratively with others at all levels of the organization (Board Members, Executive Team Member, Finance Team members and other Executive Admins)
  • Exercises sound judgment and discretion, maintains strictest confidentiality, independently assesses and resolves complex situations/problems, and has the flexibility to respond to shifting priorities with great frequency.
  • Demonstrated team player with sense of urgency and a record of proactively taking initiative as appropriate
  • Strong computer skills and experience in productivity and portal technology systems to effectively handle Microsoft Office, SharePoint, Concur and expense reporting processes.

  • Excel:  Forms, Formulas, Functions, Graphs
  • PowerPoint:  Graphics, Animation
  • Experience making international and domestic travel arrangements, and coordinating on/offsite meetings.
  • Ability to operate general office equipment
  • Strong organizational skills; ability to organize and maintain accurate, orderly files and records
  • Strong attention to detail; ability to accurately proofread documents
  • Knowledge of proper English usage, grammar, vocabulary, spelling

REQUIREMENTS:
  • High School diploma, or equivalent
  • 10+ years of advanced administrative experience in a professional environment
  • Experience working with members of executive management, high-profile clients, and/or members of the Board of Directors
  • Excellent verbal and written communication skills required to properly draft and edit meeting agendas; correspondence and interface with senior leaders required.
  • Experience supporting a finance department a plus
  • Experience with Concur expense reporting software a plus
